Payroll Administrator


Position: Payroll Administrator
Department: Human Resources
Reporting to: Human Resources Manager
Site: New Germany (Shared Service)
Contract: Permanent

Job Description

  • Ensure accurate and timeous payment of salaries
  • Create, maintain and annually audit personal files
  • Ensuring accurate and up to date personal information is captured on the HR database i.e. (salaries, title changes annual/ad hoc salary increase)
  • Attend to payroll queries (consult with employees, investigate and resolve queries then provide feedback)
  • Leave administration and ensuring that leave balance reflect correctly on payslips.
  • Administer UIF (maternity, Illness etc)
  • Capture leave on Accyss and Jarrison
  • Raise CIS’s for and status changes
  • Maintain Employee data base- IR personal info
  • Assist auditors when audits are done
  • Prepare weekly and monthly input for payrolls
  • Processing acting allowances
  • IRP5s
  • Distribute and collate assessments annually
  • Implement garnishee and maintenance orders
  • File audits and daily filing
  • Daily staff liaison and assistance
  • UIF documentation
  • Undertake the following activities with regards to the administration of the Pension / Provident Fund:
  • New engagements are notified to the respective funds.
  • Withdrawals are completed for terminations.
  • Attend quarterly management committee meetings.
  • Employee Trustee Provident Fund
  • Funeral benefits claims and follow up
  • Assist with Disability claims
  • Undertake the following activities with regards to the administration of Sizwe and Momentum Medical Funds
  • New engagements are notified to the respective funds.
  • Withdrawals are completed for terminations.
  • Housing Loan Assistance
  • Death claims ABSA
  • Retrenchment quotations and processes
  • Weekly recruitment reporting to support the IR/HR Manager.
  • Monthly executive report and on absenteeism, staff movement, headcount etc.
  • Accurate and timeous communications with employees on behalf of HR/IR manager.
  • Metair related reports for Sustainability
  • Carbon Foot print data.
    ➢ Complete withdrawal documentation.
    ➢ Notify respective service providers of terminations.
    ➢ Book exit medical.
    ➢ Conduct exit interviews if applicable.
  • Type and manage contracts of employment
  • Create documentation for terminations & engagements to send through to HR officer
  • Follow up and review contracts
  • Conduct exit interviews
  • Set up exit medicals
  • Daily employment confirmation

Position Qualifications and Minimum Requirements:

  • Matric
  • NQF level 5 qualification in Human Resources Management (National Diploma) Or payroll Certificate
  • Preferred degree in business management, finance, or accounting.
  • Payroll professional certification is advantageous
  • Three (3) years’ workplace experience in payroll administration or related field.
  • Proficiency in Microsoft Office and payroll software programs
  • Strong knowledge of payroll principles, procedures and processes especially with payroll taxes and regulations
  • Detailed knowledge of PAYE, UIF, SDL, COIDA
  • Strong numerical aptitude and attention to detail
