Job Description
An exciting opportunity exists for a Human Resources Intern at AVI in Bryanston, Johannesburg. The purpose of the role is to assist and support HR and Line Management through effective and efficient HR Administration and services.
Line Manager: HR Manager
Job Specification:
Key Performance Areas:
Attraction and Retention:
- Assistance with interviews
- Scheduling a comprehensive HR induction and liaising with line management to prepare job specific induction
- Compiling and updating the Induction Manual for all new engagements
- Informing all relevant stakeholders of the new engagements
- Conduct follow up interviews (where relevant) at the end of induction and provide a trend analysis with HR or schedule follow up interviews for the relevant HR Manager
- Liaise with Recruitment regarding the Administering of pre-employment checks for employees as well as manage the logistics of a new starter
- Assist line managers with on-boarding of successful candidates and take-one documentation specific to each business unit
- Update & maintain new starter tracker and co-ordinate on-boarding
- Prepare relevant documentation in advance of appointments
- Draft letter of appointments
Employee Relations:
- Ensure accurate record keeping of IR matters
- Assistance in coordinating all grievance and IR procedures
- Assist the HR team with Employee Relations matters as and when required.
- Follow up with line managers on outstanding investigation processes.
- Update the IR log with Disciplinary Cases
HR Administration:
- Assistance with all HR Payroll Administration
- Advise Payroll of any changes to employee details and information where required
- Administer Acknowledgement of Debt forms and submit to Payroll
- Sending all HR related documentation to Scanning in Payroll
- Ensure personnel disciplinary files are properly maintained and secured (ensure confidentiality of files)
- Maintaining the notice boards within the various allocated areas i.e. HR information and Job Vacancies, Birthdays
- Filing and record keeping of HR documentation as required
- Ensuring the logistics regarding HR interventions and meetings are efficiently organized.
- Assist with arranging of HR events
- Updating organograms
Reporting:
- Providing and collating data for HR and ad hoc reporting
- Assist with annual processes and performance management
- Provide parties timeously with the relevant and accurate HR documentation with regard to performance management and appraisals.
- Assist with HR projects
Benefits Administration:
- Assistance in the administration of all employee benefits i.e. Provident Fund, Pension Fund, Medical Aid, IOD, Death, Funeral, Disability, Incapacity etc
Engagements:
- Ensure accurate employment packs (Take on forms, employment contracts etc.) are signed and maintained.
- Send all employment packs to Payroll on SharePoint
Changes:
- Ensure accurate letters are signed.
- Send all employment packs to Payroll on SharePoint
Terminations:
- Ensure all termination packs are submitted to SharePoint
- Submit all original Provident Fund withdrawal forms to SharePoint
- Assistance in conducting exit interviews
Learning and Development Administration
- Track and submit all Business Units training initiatives to L&D Training and Events;
- Assist with submission of Workplace Skills Plan (WSP); Annual Training Report (ATR); and Employment Equity Plans;
- Co-ordinate and track all Educational Assistance Process and Workflows.
- Co-ordinate training and induction sessions;
- Address general training queries received from management and employees
- Provide parties timeously with the relevant and accurate HR documentation by compiling data for training activities.
- Track and co-ordinate graduate and Learnership;
- Assistance with completing Attendance Registers
- Booking of venues / catering for training
- Notifying individuals of training
Minimum Requirements:
Experience:
- No experience required
Qualifications:
- National Diploma or Bachelors degree in HR Management / Psychology / Industrial Psychology
- Honours / Masters will be a strong advantage
Additional Requirements:
- Computer literacy (MS Office) and Outlook
- Basic knowledge of HR Practices
- Basic knowledge of interviewing skills
- Knowledge of labour legislation (i.e. Basic Conditions of Employment, Labour relations, Skills Development, South African Qualifications Authority)
