Job summary
Administrative position for IT support, IT procurement, systems, telecommunications and asset management. The IT Administrative Clerk Intern handles all administrative duties with internal and external service providers and suppliers within the IT department (including all sub-departments). Responsible for the loading of costs on the department’s cost sheets. The goal of the IT Administrative Clerk Intern is to take over as much administrative duties as possible from the IT Manager, IT Support Manager and Systems Manager.
Responsibilities
- Manage vendor invoices and work closely with the finance department to ensure payments are made accurately and timeously
- Request quotations on new equipment or services
- Provide efficient feedback and required documentation to service providers
- Oversee and verify the timely shipment, delivery, and assignment of IT equipment to any of our branches or staff
- Oversee and follow up on the timely execution of outsourced services
- Research existing service providers and compare pricing
- Submit a quarterly report to the IT Support Manager and IT Manager, detailing the total spending from each supplier and their BEE certification level, for that period
- Keep track of all service provider contract termination dates
- Submit a monthly report listing all contracts that are ending, three months prior to the end of the contract
- Ensure the asset registers are updated daily and that the information is accurate
- Ensure all purchase and license documentation is available electronically on the company’s asset register
- Manage cost allocations of IT equipment supplied to commercial clients
- Capture the monthly expenses of the IT department and provide an expense report to the IT Support Manager
- Manage the internal purchase order system
Requirements
- Relevant qualification in administration or a similar field is required
- A drivers’ license is required
