Department Description

The Unit for Undergraduate Medical Education (UUME) in the School of Clinical Medicine in the Faculty of Health Sciences invites applications from suitably qualified individuals, for appointment as an administrator in the Graduate Entry Medical Programme (GEMP) 3&4 programme. 

Main purpose of the job
The main purpose of this position is to assist the GEMP 3&4 Senior Administrator to manage key aspects of the clinical training programme of 3rd, 4th, 5th and 6th year medical students on a daily basis.  Additional duties are specified in the “Key performance areas” section below.

Brief Description

Key performance areas
· Assist with the administration of the clinical training programme of 3rd, 4th, 5th and 6th year medical students on a daily basis, in support of the GEMP 3&4 Senior Administrator.
· Provide assistance to prepare and communicate timetables, compile student group lists, arrange and manage Medical School Spiral weeks, provide admin assistance to all assignments related to senior GEMP years, load and maintain information on the learning management system (e.g. Canvas (Ulwazi) / Sakai), assist with printing and preparation (e.g. binding) of academic materials, respond to staff and student queries and refer appropriately,
· Provide assistance to publish exam notices, arrange venues and invigilation for computer-based exams, assist clinical departments with marking of multiple choice questions (MCQs), attend and manage end-of-rotation examiners’ meetings: sends attendance reminders, facilitates uniform reporting of marks by all departments, receiving and collating marks from the individual clinical disciplines in preparation of each examiners’ meeting, keeps detailed records of student progress between rotations, publishes results of students, collates and publishing full results the week following examiners’ meeting, preparing year marks, compiling clinical component results for final year students and send to departments for awards ceremony, liaises closely with the UUME Exams office in the administration and delivery of GEMP 3-4 high stakes exams.
· Assist with requesting assessment questions to be used, arranges quality assurance meetings to review exam content, arrange exam venues, arrange and assist with invigilation, manage rollout of computer based examinations, coordinate result processing in conjunction with UUME exams office; manages timely marking of scripts, prepare MCQ item statistics for exam review meetings, manages research project
· Assist with recording data needed for yearly apportioning of student full time teaching equivalents (FTEs) to departments for the clinical teaching activities in GEMP 1-4
· Assist with GEMP 3&4 curriculum and assessment meetings by attending meetings and taking minutes, arrange catering, book venue, invite attendees
· Assist with the management of the GEMP clinical training programme: compile annual plan, allocate students to sites, communicate and confirm teaching sessions with clinicians at the teaching sites
· Assist with the management of transport operations required for clinical placements 

Minimum requirements to apply for this position:
·         Matric
·         Recognised further qualification in office administration, higher degree preferable but not essential
·         2 year relevant administrative experience
