Admin Officer  ( HRL 13  )

Sappi Southern Africa – Forests requires a suitably qualified candidate to effectively manage and administrate AIMS, stock, petty cash, Sundry Debtors, Sappi Contractors, Contractor/Cashbook payments and month-end duties.

This role reports to the Management Accountant.

The main responsibilities of the job are:

  • Make sure KZN silviculture contractors batched on time in AIMS and uploaded to SAP.
  • Make sure all invoices submitted for batching has all the approvals and supporting documents in place, before processing to ensure valid claims.
  • To create contractor’s proposal for both KZN & MPU and make sure that all the correct invoices pull through with correct payment terms and submit to GBS timeously for payment.
  • Submit daily & Weekly cash movement reports for Treasury records
  • Allocate bank receipts, payments and deposits daily to ensure accounting records are accurate and complete.
  • Allocate Deposits account interest monthly & recon the account to keep track of the account records.
  • Ensure the weekly adhoc & monthly payments are approved and submitted timeously to GBS for payments.
  • Ensure the monthly rental journal is updated, approved, and submitted timeously to GBS for payment.
  • Manage VCC petty cash and sundry receipts, by ensuring the claims are valid and according to Sappi costing policy.
  • Verify Claims and process Petty cash reimbursement for both KZN & MPU offices.
  • Keep Stock records and monthly recons for the VCC main stores.
  • Receive stock deliveries from the suppliers and Issue stock orders to plantations & process issues in SAP
  • Capture and reconcile diesel and fertiliser for the various browsers and plantations to ensure accurate issues and receipts in SAP.
  • Update the income databases on excel/SAP for new contracts/increases to ensure that there is a complete record of sundry contracts
  • Create invoices for all occupants/contracts on SAP to ensure that all rentals are billed out
  • Follow up via email/telephone on all overdue customer balances to ensure that all sundry income owed to Sappi is recovered

The ideal candidate should have:

  • Grade 12
  • Minimum 3 years relevant experience
  • Well developed MS Office skills
