Receptionist: Gender Desk (One Post)

RECEPTIONIST: GENDER DESK (ONE POST)

Qualifications:
• Matric
• Three (3) years Secretarial Diploma/ N6 secretarial Certificate
• Excellent telephone skills essentials
• Computer literacy: MS Office etc

Experience:
• At least 1 years’ experience as secretarial or admin environment

Skills and Abilities
• Good communication skills (written and verbal)
• Ability to work under pressure
• Proficiency in English
• Computer literacy
• Typing skill
• Ability to work independently and without performing close supervision.
• Ability to plan and manage a diary

Duties
• Attend to all visitors and guests of the unit and redirect them to the relevant office
• Screening all incoming phone calls and redirect to the relevant office
• Take messages for the staff and head of the unit
• Evaluate caller’s enquiries, requirements and problems
• Take messages
• Re-route calls
• Return telephone messages to callers
• Follow up on calls
• Arrange the venue for the event or meeting
• Prepares and circulate documentation for event or meeting
• Issue notices to inform relevant persons of events arrangements and logistics
• completes relevant documentation regard to event management
• Email the staff to inform them about the dates, venues and time of the meeting
• Arrange meals for the meeting and event
• Making travel arrangement and accommodation bookings for the Director and staff
• Communicate with traveling Agencies and confirm required details
• Ensure that the bookings are done on time
• Liaise with finance department regarding all the payment of the departmental accounts
• Type documents in the unit
• Make photocopies and print out required by the manager and the entire staff
• Order stationery and complete the purchase request form
• Issuing the stationery to all staff
• File all the necessary documents in the department
• Ordering office equipment
• Maintenance of the department and repairs
